Camp Program Coordinator

Job Description

The Camp Program Coordinator (CPC) role is a year-round position which, along with the Director of Camp Programs (DCP), is responsible for the planning, preparing and delivery of an inclusive, residential youth development program at Camp Merrowvista each summer. The CPC is heavily involved with the running of program throughout the summer and helps to ensure that all state, American Camping Association, and AYF program regulations are followed. In the offseason, the CPC is the primary manager of our ideal client relationships, interfacing with program participants and parents, as well as marketing and selling the summer program. Additionally, the CPC assists in the hiring, supply ordering, schedule building, and overall planning for the summer experience. In the spring and fall program season at Merrowvista, this role may also act as a program coordinator or facilitator on the Community and School Programs (CSP) team.

Essential Functions

  • Ensure safety and quality in-camp programming through intentional design and consistent presence.
  • Creates and maintains a positive relationship with the clients and inquiries throughout the year, promptly addressing questions, concerns, and feedback.
  • Serves as a member of the Site Emergency Response Team as the Designated Program Leader in the absence of the Director of Camp Programs (DCP).
  • Oversees all aspects of the inquiry management process. Prepares and assists with the implementation of annual marketing plan for promotional materials, activities, and events in line with camp’s ideal client relations plan.
  • Assists with all seasonal program staff recruitment and hiring.
  • Directly oversees and supervises certain program areas in summer, supporting seasonal staff through observation and feedback.
  • Assists with planning and delivery of staff training.
  • Assists with program curriculum development and editing of handbooks.
  • Manages the production of participant handbooks and forms in conjunction with the DCP and Registrar.
  • Purchases program equipment, manages inventory, and identifies programmatic needs.
  • Communicates facility, administrative and food program needs of the camp program in a timely manner.
  • Uses good judgement in risk management practices, and ensures program is in line with AYF policies and ACA standards.
  • Fulfills necessary administrative functions in partnership with the administrative team related to hiring, recruiting, and follow up.
  • Attends and fully participates in all program team meetings.

Secondary Functions

  • Manages logistics of staff arrival, pre-summer communications, travel arrangements, housing and staff registration.
  • Oversees the Merrowvista Camps pages of the AYF website, updating regularly.
  • Actively works to help create an effective and positive work team at the site.
  • Oversees the Merrowvista social media page and updates it in a timely manner.
  • Assists with summer scheduling and program design.
  • Serves as a member of the site Staff team and attends weekly staff meetings.
  • Serves as a member of the AYF Program team and attends seasonal planning meetings.
  • Serves as a Designated Program Leader with overnight and on-call responsibilities.
  • Represents the site programs and AYF at regional, local, and national meeting and events.
  • Other duties as agreed upon in staff meetings, or as assigned by the supervisor.

Preferred Minimum Education, Experience and/or Certification

  • Bachelor’s degree
  • 2-3 year’s direct or related experience
  • Equivalent combination of education and experience
  • Knowledge of Microsoft office package with strong aptitude and interest with demonstrated skills in word processing, spreadsheet and data management applications
  • Prior experience working with youth
  • Computer and database skills
  • Wilderness First Responder, CPR and Lifeguard certification

Work Environment

  • Position work is located in Center Tuftonboro, NH.
  • Part-time office, part-time outdoor environment.
  • Merrowvista’s site necessitates the capacity to move through rugged terrain.
  • Business casual, appropriate attire for multiple, differing settings.
  • Hours as required to meet job demands, generally Monday through Friday 8:30 am to 4:30 pm outside of peak program season.
  • Evening and overnight duty during the peak program season – ability to live on site and work six-day weeks in peak season.
  • Travel as needed for recruitment and meetings.
