Job Description

Summary

The Course Advisor provides an essential role within the Student Services Department to assist customers with course selection, convert inquiries to enrollments, and prepare all incoming students for their Outward Bound experience. This person also provides information to Course Directors for students arriving on upcoming courses. A Course Advisor is responsible for tracking enrolled students, managing receipt of their application materials, and reviewing medical forms submitted by the applicant to assess medical, psychological, behavioral, and motivational appropriateness for courses located in Minnesota and Texas.

Essential Duties and Responsibilities

Sales and Customer Service

  • Provide superior, friendly, responsive, and informative customer service to prospective and enrolled students and their parents.
  • Manage, and respond in a timely manner, the daily volume of incoming calls, emails, and faxes from prospective and enrolled students to meet the goals and enrollment process deadlines of the Student Services department.
  • Be knowledgeable and accurate about available courses and the associated requirements. Assist customers with course selection and enroll applicants on courses.
  • Proactively direct customers to courses in need in order to meet departmental goals and objectives.
  • Execute highly accurate data entry in accordance with Voyageur Outward Bound School enrollment procedures.
  • Help students understand mental and physical readiness to successfully complete an Outward Bound course.
  • Process payments, transfers, cancellations, and refunds in a timely manner while maintaining accurate information in the VOBS database.
  • Efficiently navigate Salesforce and understand how Salesforce interacts with additional applications including: Freshbooks, Calendly, Gmail, and more.
  • Act as a parent liaison during critical field incidents and participate in VOBS’ emergency response plan as assigned.
  • Consistently look for ways to deepen the VOBS relationship with each student and family.

Application Review and Screening

  • Assess student’s medical, psychological, behavioral, and motivational appropriateness for an Outward Bound course using assessment guidelines and screening tools provided.
  • Conduct required follow-up with students, parents, doctors, and/or therapists to gather relevant additional information as needed in order to accurately assess each applicant’s appropriateness for an Outward Bound course.
  • Consult with the Director of Student Services (DSS) and Outward Bound consulting physicians when additional expertise is needed.
  • Approve or decline applications in a timely fashion with a high standard of professionalism.
  • Review age and gender balance on each course and follow up accordingly.

Course Packaging

  • Assemble and summarize accurate and complete information on each student for Course Directors and Instructors prior to course planning.
  • Brief Course Directors and/or instructors during course planning.

Knowledge and Skills

  • Familiar with Outward Bound philosophy, activities, and course areas.
  • Well-organized with exceptional attention to detail.
  • Ability to problem-solve, prioritize, and multi-task successfully.
  • Ability to develop positive, productive relationships with students and their families, Outward Bound staff, and other regions in the Outward Bound community.
  • Sales experience, telephone skills, and solid computer skills: MS Word, Excel, Adobe, and email experience.
  • Self-starter, strong initiative and ability to work with minimal supervision.
  • Must work well in a team environment and excel under pressure.

Education and Work Experience

  • Outward Bound or other wilderness expeditionary experience required.
  • Background in a medical and/or mental health-related field beneficial.

Compensation

  • Competitive hourly rate commensurate with experience.
  • Room and board provided at the VOBS basecamp for a reduced rate.
  • A mix of 4 and 5-month positions available beginning in March and April.
