Job Title: Operations Coordinator, NOLS Custom Education
Reports to: Operations Supervisor, NOLS Custom Education
Job Objective: As part of a team, the NOLS Custom Education Operations Coordinator serves as the logistical coordinator and admissions officer for all NOLS Custom Education courses for which they are responsible.
Ability to communicate with coworkers, external partners, customers and student in a clear and effective manner.
Excellent verbal and written communication skills; must be able to present a vibrant, positive and helpful attitude to a variety of diverse inquiries, whether in person, email, or over the phone.
Must be proficient with computer systems used to manage logistics, including but not limited to Google drive, Excel, and Filemaker Pro (willing to train).
Must possess the ability to work independently and proactively within the larger department and the school.
Must be able to remain in a stationary position at a computer work station up to 70% of the day with appropriate breaks or with reasonable accommodation.
Must be able to lift 30 lbs on an occasional basis or with reasonable accommodation.
Must be able to maintain regular and punctual attendance.
Comply with all NOLS policies and procedures.
1-2 years previous experience in an office setting or administrative role.
Desire to support low-income or under-resourced youth.
Familiarity with outdoor and experiential education programs.
Spanish language proficiency.
Leadership or Supervisory Duties: The Operations Coordinator has no supervisory responsibility but this person requires cooperative skills. NOLS Custom Education is a team-oriented atmosphere.
Funds and/or Property: Will assist the Operations Supervisor in the processing of funds associated with student tuition monies. Will be responsible for purchases with NOLS credit cards. Indirectly responsible for a significant amount of annual revenue.
60% Communicates with current and prospective students, clients, and parents through phone and email, sending pre-course information, troubleshooting technical issues, answering questions pertinent to the NOLS Custom Education program, equipment, course prospects, tuition, etc. Registers students for courses and manages course rosters, contacting students for application follow-up, medical reviews, and missing course paperwork. Assists students in changing their student status: Course transfers, cancellations, enrollment from wait lists, available openings, etc. Maintains database regarding students and courses. Works closely with Account Managers to support complex course logistics, typically for several courses and clients at the same time.
25% Supports NOLS Custom Education faculty with course travel and logistics. Assists in the preparation of NOLS Custom Education and Leave No Trace courses, including: packing rations and equipment, making travel plans, and vendor communication. Supports NOLS locations and other departments as needed when implementing NOLS Custom Education courses. Attend course briefings and debriefings.
5% Answers and provides information in response to telephone, mail, email and website inquiries including program capabilities, retail transactions, and frequently asked questions.
5% Assist other NOLS Custom Education staff in a variety of capacities. Executes administrative tasks related to specific course responsibilities.
5% Other duties as assigned.
Duties and responsibilities of this role are subject to change at any time.
This position has flexibility for field work and classroom teaching in the range of 2-8 weeks per year, approved on a case by case basis, dependant on performance, schedule, and workload.
